How does this template work?

This workflow is used to collect employee responses about work location to then send follow-up information to those employees, based on whether the recipient's response was home or office.

Note: While this template can be used as is, we recommend using this as a starting point from which you can customise and adjust to suit your requirements.

Set your initial SMS


Add your staff distribution list to the initial SMS. This template works best when using a distribution list however you can also use the other recipient types. You can also customise your content, the default content is below.

The initial SMS will ask employees reply with "office" if they intend on coming into the office, or "home" if they will continue to work from home. You can also include additional terms such as "wfh" or "wfo" so you don't miss common responses.

Set the amount of time you'd like to collect responses for.

Each response is stored as a variable that will then be used throughout this workflow.

Each time you receive a reply, the SMS response capture triggers the following Actions

Action: Branch Out (Split 1)

Once collect responses is enabled, 2 new paths will be created; response vs. no response. One for when a recipient responds and one for when no response is received.

The no response path will only execute for recipients who do not respond within the 2 hour time frame.

Set your HR email address as a recipient to receive emails about staff who do not respond to your message so they can follow up at a later time if required.

Action: Branch Out (Split 2)

The Split action creates 2 branches for "wfh" vs. "wfo" responses.

This response path will only execute for recipients who respond within the 2 hour time frame.

Note: To create a new branch, click + Add a Branch on the Split component.

Action: If Responses equal "home" or "wfh"

The IF Condition allows the workflow to continue if it meets the rules you have set for the branch.

So, if the employee replies with "home" or "wfh", they will get the below follow-up SMS.

This workflow will also route an email to HR to record this response.

Action: If Responses equal "office" or "wfo"

If the employee replies with "office" or "wfo", they will get the below SMS with a linked web page to give them further required information.

This workflow will also route an email to HR to record this response.

Manual Trigger

Once you have configured all of the above, click Trigger on the top right and the workflow will now execute, sending messages to your desired distribution list and waiting for responses.

Test it out! 🎉

To test out the workflow, add your mobile phone number in the Recipients field of the initial SMS.

Once you've added your phone number, click the Trigger button (top right corner) and respond accordingly to test all your message paths!
